About this opportunity
The Department of the Air Force Air Education and Training Command has issued a Special Notice for acquiring booth space at two Air Force Association (AFA) conferences in fiscal year 2025. The notice details a sole source procurement for the Air University Public Affairs Outreach and Engagement Team to secure exhibit spaces at two specific events: the AFA Warfare Symposium in Aurora, Colorado, and the AFA Air Space Cyber Conference in National Harbor, Maryland. A notice of intent to sole source was previously posted on the System for Award Management (SAM) from January 30 to February 7, 2025, with no alternative responses received. The Air Force Association has been confirmed as the exclusive vendor capable of providing booth space for these conferences. The procurement is categorized under the NAICS category for Lessors of Nonresidential Buildings and the PSC category for Conference Space and Facilities Rental.
The primary objective of this Special Notice is to enable the Air University's Public Affairs team to attend critical recruitment and information dissemination events through strategically located booth spaces. The first conference requires a 30' x 30' booth at the Denver Gaylord Rockies Resort and Convention Center from March 3-5, 2025, while the second conference requires a 20' x 40' booth at the National Harbor Gaylord Resort and Convention Center from September 22-24, 2025. There are no specific eligibility restrictions noted for contractors, though the procurement is being conducted as a sole source award directly with the Air Force Association. The conferences are designed to provide a platform for recruiting and sharing organizational information with a targeted audience of military and aerospace professionals. The special notice was posted on February 25, 2025, with a response deadline of March 27, 2025, indicating a relatively compressed procurement timeline. The procurement represents a focused approach to maintaining critical outreach and engagement capabilities for the Air University's Public Affairs team.
Notice text
The AU/PA Outreach and Engagement Team are required to attend widely attended gatherings for the purpose of recruiting and disseminate information about their organization. The Air Force Association (AFA) holds two Air, Space, and Cyberspace Conferences annually. The AU/PA team attends as part of their mission. They are required to purchase booth space to setup at each venue. The booth spaces are purchased through the AFA. There are other conferences that are attended, however, there aren’t any with the audience that these conferences bring in at the times they are held. There are no other sources for this requirement. On 30 January 2025, a notice of intent to sole source was posted on SAM, but no responses were received by closing date of 7 February 2025. There is no other vendor that can provide the services required. AFA's website confirmed that AFA is the sole vendor for this conference.
