About this file
This is a Request for Quote (RFQ) issued by the Maine Department of Transportation Reproduction Services for a 60-month lease and maintenance agreement for high-volume reproduction, binding, and finishing equipment. The equipment specifications include a Highlight Color 128 copier with a controller capable of 128 pages per minute and 200,000 monthly impressions, a near-line Duplo DSF 2000 booklet maker, a DC8000AP Color 8000 Controller with 70,000 monthly impression clicks, a FreeFlow software system with a 665E scanner, and a Common Stacker/Stapler capable of 80 pages per minute. The lease term is 60 months, and pricing must include setup, on-site training, labor, and installation coordinated with MaineDOT Reproduction Services. No specific response date or site visit requirements are mentioned in the documentation.
Pricing evaluation will be weighted at 35% for price, 35% for quality and capabilities, and 30% for maintenance program performance. Quotes must specify monthly equipment and maintenance charges, the number of allowances and clicks included, and overage charges for excess usage. The lease must include all supplies except paper, binding tape, and staples; offer the ability to recalculate included impressions during the lease period; provide service calls with a 4-hour response time and on-site service; and include a total satisfaction guarantee at the Department's request. Bidders must document the number of trained technicians available in the area, their experience level, response times for support and on-site visits, and the approximate lead time for equipment delivery and training.
