Services will be provided on an as-needed basis to supplement internal capacity during peak volume periods and specialized repair requirements. The IFB was released on November 3, 2026, with a deadline for submission of questions by November 20, 2026, at 3:00 PM EST, directed to David Coelho, Director of Finance at Coelhod@weston.org. Bids are due on November 25, 2026, at 3:00 PM EST at the specified submission location, with public opening occurring the same day. The anticipated contract award date is November 30, 2026. The base contract term commences December 1, 2026, through November 30, 2027, with options to extend for up to two additional one-year periods at the District's sole discretion, not to exceed three consecutive years total.

The estimated annual contract value is up to $35,000, with an estimated total of $105,000 over three years; however, the District does not guarantee a minimum volume of work or full expenditure of the annual contract ceiling, as work will be assigned on a supplemental, as-needed basis. This procurement is for off-site repair services executed entirely within a private commercial facility, and pursuant to Department of Labor Standards guidelines, prevailing wage requirements do not apply. Bidders must meet minimum qualifications including ten consecutive years of established business experience in school bus or heavy-duty commercial vehicle maintenance and repair, authorization/certification as a service facility for Thomas Built Buses or Blue Bird Body Company, location within 35 driving miles of Weston, and submission of three professional references from public school districts, private bus contractors, or municipal fleet clients within the past five years. Lead technicians must hold active ASE Master School Bus Technician or ASE Master Heavy Duty Truck certifications, and drivers must possess valid Commercial Driver's License Class A or B with Passenger and School Bus endorsements. The District intends to award contracts to up to two responsive and responsible bidders offering the lowest total evaluated bid price, designating one as Primary Vendor for routine and emergency work and one as Secondary Vendor for overflow or emergency situations.
