About this file
This is a Request for Bid document issued by the State of Maine Division of Purchases for the procurement of wiping cloths. The contract period runs from May 1, 2008 through April 30, 2009, with two optional one-year extensions available at the Director of Purchases' discretion with contractor consent. The State is seeking bids for six line items of wiping cloths in varying specifications and box sizes: blend of fabrics in mixed colors (50-pound and 25-pound boxes), white undyed cloths (50-pound and 25-pound boxes), and cotton t-shirt wipers in mixed colors (50-pound and 25-pound boxes). All quoted prices shall be net, inclusive of transportation and delivery charges fully prepaid by the contractor, and are not subject to increase during the contract period. Quantities shown are estimates based on current inventory experience, with actual quantities to be determined by State orders during the contract term. Delivery must be completed within five working days of order receipt.
The specifications require that all wiping cloths consist primarily of recycled materials, with the blend of fabrics category containing at least 35% cotton and the white undyed category composed of cotton terry from factory mill ends. All cloths must be washed and sterilized and meet strict dimensional requirements of minimum 2 square feet area (between 9 and 44 inches in length). The State has established detailed restrictions on unacceptable materials and defects, including prohibitions on khaki, rayon, silk, heavily napped fabrics, and cloths with paint or oil stains. Vendors must accept the State of Maine Procurement Card as payment with no surcharge allowed. The State requests that vendors indicate willingness to extend contract pricing to political subdivisions and school districts in Maine. Any contractor providing non-compliant wiping cloths will have their products returned at their expense and will be removed from the bidders list for future consideration.
