About this file

This is a Request for Bid (RFB) document for West Hartford Public Schools' Nutrition Services Department soliciting proposals for warewashing services, chemicals, and equipment maintenance for the 2026-2027 school year. The bid covers 16 school locations and requires vendors to supply and maintain dishwashing machines, provide cleaning chemicals, and deliver related services from July 1, 2026, through August 15, 2027. The scope of work includes nine primary chemical categories: liquid sanitizer (6% bleach), all-purpose cleaner, degreaser, concentrated pot and pan cleaner, metalsafe automatic dishwasher detergent, no-spot/drying agents, de-limer, bleach test strips, and liquid dish soap. Vendors must provide sufficient quantities to meet sanitation standards established by the West Hartford/Bloomfield Health Department and West Hartford Nutrition Services Department. Where available, products must be certified as Green Seal, EcoLogo, or carry the EPA Design for the Environment (DFE) label with proof of certification included in the proposal packet.

Vendors must submit pricing in numerical format only and provide detailed information including brand names, package sizes, item numbers, cost per case, and approximate per-rack or daily use costs. The bid requires vendors to specify equipment service inspection frequency (yearly, quarterly, monthly, or other), inspection fees, and whether dispensers will be installed or removed at no cost. Vendors must detail repair charges for parts and labor, travel charges, and emergency service turnaround times. The successful contractor must provide Material Safety Data Sheets (MSDS) for all chemicals and detergents to each school kitchen, training guidelines for proper chemical use, and service reports documenting equipment inspections and repairs. Vendors are required to list references of other school systems they service. All products must be biodegradable, dilute in hard or soft water, leave no film or residue, and be labeled for institutional use where applicable.
