About this file

This document is an amendment to a solicitation for a wide format printer. The Army Contracting Command at Corpus Christi Army Depot is seeking one wide format multifunction printer that can print at a minimum speed of 15 D size images per minute and include a replaceable hard drive that can be locked and secured with the customer retaining the key. The amendment provides responses to questions from offerors, clarifying that a three-year warranty for parts and labor must be included in proposals, as well as confirming that remote site visits are acceptable. It also specifies that the printer must include authentication technology to support use of the Common Access Card for controlled release functions.

QUESTIONS AND ANSWERS

WIDE FORMAT PRINTER

QUESTIONS & ANSWERS

1. You ask for 3-year parts and labor but also ask for square footage to be included in price??

Answer: An amendment is forth coming to correct.

2. We offer a CSA (comprehensive service program) It includes all consumables (paper, ink, ink consumables, parts, labor & travel) Billed monthly via meter readings from end user. Would our CSA be an acceptable option to your request?

Answer: Yes, we want a three-year warranty for parts and labor included. No, we are not interested in the CSA package.

3. Is the Guest-Sponsorship to be filled by our company?

Answer: Yes, please fill out the Guest Sponsorship form and return as soon as possible. Email to terry.b.clark4.civ@army.mil

4. Is the site visit mandatory?

Answer: No, but it is recommended.

5. We can do a site visit remotely with end user?

Answer: Yes, we can do a site visit remotely.

6. We also employ a tipping tool if necessary to get around tight spots or elevators. Is this Accepted?

Answer: Our safety department would like to see pictures of the engine hoists and review the contractor’s activity hazard analysis and planned route to the installation location.

7. If our technician arrives later than 9am, can he still see the delivery path?

Answer: No, you must attend the site visit at 9am along with everyone else.

8. I only have a couple of questions/comments at this point, and it is in reference to the CAC (Common Access Card).

In line item 37 "All WFPs must support the use of the DoD-issued CAC for all functions to include controlled release of the device for walk up copying, printing or scanning."

W912NW24Q0037

What I read from this: this will be installed by a third-party contractor or IT for DoD, All A&A Graphics (our partner in this project) concern is that the HP can Take a device such as this, but we are not required to provide it as it is DoD issued. A&A Graphics is not required install it or make it function correctly with our HP WFP System. Am I correct in my assessment?

Answer: HP has the authentication technology already built into the Multi-Function Printer (MFP) that allows us to connect our own CAC Reader and that Netgard was no longer being used.

We have the CAC Readers; we are just looking for the authentication technology to be imbedded in the Multi- Function Printer (MFP).

9. Line Item 13 & 14:

You want a 3-year agreement but also want square footage included in price.

The 3-year HP care pack that HAS TO BE PROVIDED here with the system you are requesting would include a 3-year parts and labor only. Regardless of square footage of equipment.

Because you are asking for a removable hard drive there is only one HP SKU that I can quote. HP only offers one system (the XL4700 that can print at 15 D size per minute and include a removable hard disc.) And it must be ordered with an HP Direct Service care pack. Any service call would have to made through HP and they would delegate it to the dealer that placed the equipment. A&A Graphics would only get paid by and through HP on service interventions for your equipment.

Answer/Response: See #1 which was corrected with amendment 0001 and Knowledge.

10. You might want to consider a separate production level scanner (A&A Graphics is an authorized dealer for Contex Scanners). We can provide you with specs on them if you are interested. For comparison, HP scans at 3" per second, Contex production scanners scan at 17.8 inches per second. Huge difference when scanning multiple documents.

Answer/Response: No thank you.

11. Line Item 40, item j – "a locking mechanism with a key securing the hard drive, or the case access to the hard drive. “Will CCAD be removing the hard drive every day and locking it up?

Answer: No, will not be removing daily.

12. Line Item 40, item j – Do you have to have a "removable hard drive"?

Answer: It needs to be replaceable should the hard drive fail.

13. Line Item 40, item j – Is that a hard requirement? The hard drives are buried behind the back of printer under a panel that has multiple screws to gain access.

Answer: MUST be lockable where CCAD holds the key. Cannot be just secured by screws.

14. Line Item 40, item j – Are you requiring us to provide a removable hard disc with the HP WFP?

Answer: See #13
