7. Requirements Coordination. The Project Officer will coordinate the most appropriate medium (meeting, tele-con, etc.) possible for all parties involved in order to accurately define the requirement. This will allow time for all parties to fully understand the requirement and allow the contractor to better prepare a firm price proposal for each requirement. Once the requirements are determined, then a “Call Order” can be place against the BPA (with funding) to satisfy the production requirements, invoice and payments.

8. Delivery tickets. All shipments under the agreement, shall be accompanied by delivery tickets or sales slips that shall contain the following minimum information:

vi. Quantity, unit price, and extension of each item, less applicable discounts

vii. Date of delivery or shipment.

viii. Point of contact information of supplier representative.

9. Invoices. A summary invoice shall be submitted at least monthly or upon expiration of this BPA, whichever occurs first, for all deliveries made during a billing period, identifying the delivery tickets covered therein, stating their total dollar value, and supported by receipt copies of the delivery tickets.

10. Status Report (MSR): Should an order take longer than 30 days to complete, the contractor shall submit a Status Report (SR) to the Project Officer in Microsoft Word format. At a minimum, the report shall detail the status of the production(s). The report should detail major accomplishments during the month, problems/resolutions, issues/mitigation plan and recommendations.
