1) Are there any specific dietary restrictions or preferences (e.g., vegan, vegetarian, gluten-free) for the buffet meal?

No preferences. It is always a good practice to have vegetarian options available for anyone who did not identify the preference.

2) Will a guest list or roster be provided to us in advance for room assignments, or will attendees book rooms directly?

Typically, the rooms are simply held in my name as the coordinator or another Point of Contact in the program. Service Members will not be charged.

3) Can you confirm if the contractor needs to provide an on-site technician for AV support, or is setup only required?

AV support must be available. This is typically provided by venue staff as a condition in the contract.

4) Will a tax-exempt form be provided?

YES

5) Does the hotel have to have a specific rating such as AAA, or a 3-star rating?

The preferred arrangement is for the conference location to have lodging on site (e.g. The Wyndam in North Little Rock, Holiday Inn Little Rock Airport Conference Center, etc.).

o This is done to ensure the attendees have sufficient time to avail themselves of the complimentary breakfast and report to check in.

These are service members returning from deployment. 3 Star is a minimum standard. Discount hotels are unacceptable as the Service Members and their families deserve quality. We had an event in February of this year where the rooms had mold and bed bugs. The SOW should indicate that hotel rooms are to have neither.

6) Is there an estimate on the number of parking spaces needed?

The event is projected to have 80 attendees.

If an event location cannot accommodate this number, it is likely not a viable location.

7) To confirm, the contractor does not need to provide childcare services, that will be handled by the 216th staff?

Event Coordinator is coordinating childcare for this event.

216th Staff will not be handling childcare.

Contractor does not need to either.

8) Besides the main conference room, are av services needed in the lunchroom, childcare rooms, and one breakout room?

Negative

9) To confirm, only complimentary breakfast is needed for the guests who are staying the night at the hotel?

Correct - only for those who stayed overnight will be offered breakfast.
