Notes from MAR 2018 Site Visit – Brigade Conference Room Upgrade

Technical Questions / Concerns What devices are the codecs registering to?

Call Manager.

The SX20 codec has reached end-of-life. Vendors suggested changing the Bill of Material to reflect a more up-to-date codec (SX80).

Replacing the SX20 with the SX80 is perfectly acceptable

What firmware version is the call manager running?

System version 11.5.1.10000-6.

Vendors in attendance expressed that wireless presenting capability presents a security challenge and may not be possible.

SIPR will be removed from the scope of the project.

Does the room have any dedicated PCs? If so, where will they be located, and how will they be connected to peripherals?

The room will have a dedicated PC. The location of the PC is negotiable – preferably under the conference table or in the AV run. The computer should be connected to the WAN.

Even though we are pulling SIPR-related language and hardware out of the solicitation, the vendors suggested that we maintain connections for another codec, just in case the room is upgraded in the future, citing nominal cost now as opposed to tearing things out or running another parallel project in the future.

Maintaining the connection for a second codec is not necessary. The room will be exclusively

NIPR.

Monitors Vendors suggested that the solicitation should include language to ensure that monitors are commercial-grade rather than consumer-grade in order to keep warranties intact.

Commercial grade equipment is the expectation.

Vendors also commented that the monitors lack wireless capability, so that they do not present a security concern if/when room is further upgraded.

Removing wireless from the monitors is fine, it is not required.

Vendors emphasized that in order to extend desktop to all three displays, the presenter/customer would need to provide a device with three output ports.

The dedicated PC can have three outputs. The vendor needs to provide the specifications and the government will purchase.

Conference Table Vendors wanted a better idea of what to do with the table and the connections there. If we want a slick-top look, how do we propose to get power and data/video/audio connections to laptops and other devices? Vendors suggested ordering Cable Cubbies, fliptops, or similar boxes that can be put into existing table, and removed and refitted to any future table. This would keep connection ports out of the floor, where they can be kicked/broken/hard to access.

Options to configure the conference room connections to support integration into the current cut outs are requested.

Front Wall / Demolition-Construction There were many questions regarding the front wall, with the sliding whiteboards and corkboards. Demolition and removal of existing boards and building a new wall could be considered construction, and the vendors all expressed a reluctance to get involved in a construction project. The customer wants the wall to match the rest of the room when the project is finished. How do we propose to make that work happen?

The CFMO will provide a scope of work and price to the 116 CBCT. The 116 CBCT will pay for the construction of the wall and it will not be a part of the contractor’s responsibility.
