Minimum Criteria for Data Deliverables

Import Specifications for Analytical Data from Non-Element Laboratory Introduction The Element DataSystem is a Laboratory Information Management System (LIMS) developed and supported by Promium, LLC. Laboratories using Element normally transfer sample information and analytical data between facilities using standardized file formats generated by the system. The Element DataSystem can also convert and read files from other laboratories that do not use the Element DataSystem as long as those laboratories can provide an Electronic Data Deliverable (EDD) in the Element DataSystem Standard EDD Format. Data received from subcontract laboratories in this format can then be converted into a system-compatible transfer file using the Third- Party EDD Conversion Utility. Once converted, the resulting transfer file can be included just like any other transfer file to create a combined analytical report or electronic deliverable.

Element DataSystem Standard EDD Format Files The Standard EDD format must be delivered in either Microsoft ® Excel (.xls) or Microsoft ® Access (.mdb).

Tables The format consists of three tables. The following names must be used for the tables when supplying the EDD. If these names are not supplied, the user will be prompted to check and rename them before the EDD can be converted. In Microsoft Excel, these tables represent separate worksheets.

3. SAMPDATA. This table contains analytical data for samples submitted by the client (subcontracting) laboratory. This includes results and recoveries for surrogate compounds in client samples.

2. QCDATA. This table contains analytical data and QC calculations for QC samples such as Blanks, Duplicates, Matrix Spikes, Blanks Spikes, Reference Samples and Post Digestion Spikes. If the sub lab did not furnish QC data then the rows below the column headers can be left blank.

3. LNOTE. This table contains codes and corresponding text to be associated with any qualifiers or notations that may have been included in the SAMPDATA and QCDATA tables. If no qualifiers were used then the rows below the column headers can be left blank.

Fields The tables listed above must contain the fields identified in the following tables. Data that must be supplied in order for conversion to take place are indicated by the Required column. Please try to provide data for as many fields as possible because the primary laboratory may need to produce an EDD or report for its client that needs information in the optional fields.

All of the field names listed must be included as column headers in the Excel spreadsheet or Access tables whether data is supplied under them or not.

The Primary Key fields for each table are highlighted in tables 1 – 3. The combination of the primary key fields for each record in the table must make that record unique within that table.

Additional Guidelines Re-Extracts. If there are records with the same primary key fields but different values for the PREPDATE then re-extracts must be created. In the SAMPDATA table this is done by adjusting the SAMPLENAME and LABSAMPID fields. “RE1” is be appended to the 11-13 characters. If there are more than one re-extract then the last digit is incremented (RE1, RE2, RE2, etc…). For example a SAMPLENAME of “P301013-02” would be changed to “P301013-02RE1”. A LABSAMPID of “12345678” would be changed to “12345678–RE1”. In the QCDATA table the LABSAMPID field just needs to be adjusted to make it unique. For example a LABSAMPID could be changed from “130216BLK1” to “130216BLK2”.

SAMPLENAME vs. LABSAMPID. Element requires that there is a one to one relationship between these two fields in the SAMPDATA table. Some LIMS assign different lab sample IDs to the same sample. The LABSAMPID may need to be adjusted so that there is only one value for each SAMPLENAME.

SAMPDATA vs. QCDATA. Values entered into some of the fields in common must agree with each other in order for the QC data to appear on the report. For example, The MATRIX field values entered into the QCDATA worksheet must agree with those entered into the MATRIX field of the SAMPDATA worksheet in order to get the QC data onto the report.

Bit fields. The valid values for these fields (such as SURROGATE) are 0 and 1. If text values of “TRUE” and “FALSE” are used this may cause problems when the final report is created.

Text only. All entries, aside from the Date or Bit entries, on the Excel file, whether they are numeric or non-numeric values, must be formatted as text fields. To make sure the entry is formatted correctly in Excel, the value can be prefixed with a single quote (‘). For example, 11223 can be entered as ‘112233 to ensure that Excel renders this as text. Formatting the cells in Excel may not work depending on the version of Excel you are using.
