Vendor Questions
August 15th | Could we allot 30-45 minutes after the Closing Ceremony to flip the room from theatre seating to cocktail rounds for the Farewell Reception?
No, the intent is to immediately transition into the farewell reception. But I will refer to Ms.Collazo from Protocol Office to make that call and give final answer on this issue.
Mr. Rosa is correct. The intent is to immediately transition into the reception. Please let me know if you have any other questions. Thank you!
We do not want to disrupt dinner meal for those personnel that choose not to attend the reception, so each event needs to be at separate locations.
o Will the attendees for the dinner also be at the Farewell Reception?
Yes, attendees will consume their dinner meals according to dinner schedule.
o Aside from the 2 cash bars, do you need reception food pricing?
Yes, Protocol Office will coordinate and purchase food for the reception events separately from contract.
Confirming that you will only require the 5 complimentary self-parking spaces? The hotel is 100% valet only, but we will make accommodations for the 5 vehicles.
Yes 5 spots required throughout the contract period time for VIPs, medical staff and COR.
Additionally, Para 5.13c requires free parking for all attendees of ceremonies and social events on the day of those events.
Meal vouchers are not provided, we can cater meals through our preferred caterer, but we also offer complimentary meals should you chose to not have meals catered. Are complimentary meals acceptable?
