Government Responses to Industry Questions W9127P-26-Q-A016

Q: What are the lodging days? Friday, Saturday & Sunday, or just Friday & Saturday, with departure on Sunday?

A: The Government requires lodging on Friday and Saturday night with checkout on Sunday morning. SOW paragraph 5.2 has been updated to reflect this.

Q: Is there a specific month or preference that we should try to find space for?

A: The Government does not have a preference as long as the event takes place PRIOR TO 30 September 2026 – meaning, the last acceptable dates for this event would be 25-27 September 2026. If several dates are available, please specify all available dates in your quote. The Government will reach out to the apparent awardee as soon as they are selected (prior to issuance of award) in order to confirm what dates the Government has selected so that those dates can be locked in with the venue.

Q: What are your expectations for "refreshments". Does that include snacks, pastries, or just drinks?

A: The SOW did not specify the morning refreshments in paragraph 5.3.5 – this has since been updated to include granola bars, yogurt, fruits, and pastries. Per SOW paragraph 5.3.6, afternoon refreshments should include granola bars, yogurt, fruits, cookies, and pastries. SOW paragraph 5.3.7 has also been updated to specify that drinks shall be provided during all refreshment periods in addition to meals. Drinks include tea, coffee, various juices, and water.

Q: Is there any incumbent/recompete or this is a brand-new project? If yes, could you please provide us with their award number?

A: This is typically an annual event for the VING provided funding is available. In FY25, contract number W9127P-25-C-A006 was awarded to Newland USA Corporation in the amount of $17,453.13.

Q: Will you need single or double occupancy rooms?

A: Per SOW paragraphs 5.2.1 and 5.2.2, the Government requires 14 single occupancy rooms and 2 double occupancy rooms.

Q: Please advise if any audio/visual needs are required.

A: Per SOW paragraph 5.1.1, the Government requires the following A/V items in each of the two breakout rooms: 2 microphones, 1 podium, 1 projector with screen.

Q: Could you provide a schedule of each day's activities to help with room configuration, meal planning, and scheduling?

A: Yes. The tentative agenda has been provided as an attachment to the amended

RFQ.
