Industry Questions and Answers 4 June 2024
Inquiry/Questions: The solicitation document does not specify the daily length of time for the conference or meetings. Could you please provide the anticipated schedule or daily hours for each day of the event? This information is crucial for us to plan and allocate resources effectively.
Answer: Period is continuous 26-28 July 2024.
Inquiry/Questions: While the solicitation outlines the need for morning and afternoon refreshments, as well as breakfast, lunch, and dinner, it does not specify detailed menu items. We would like to propose a list of standard options for these meals and would appreciate your guidance on the following:
A. Will information on specific dietary restrictions, such as allergies and vegan preferences, be provided after the award is issued?
B. Are there any specific menu items or types of cuisine that are preferred for the attendees?
Answer: There is not a preferred type of cuisine. Contractor shall provide vegetarian meals as an option upon request.
Inquiry/Questions: We understand that the United States Government is exempt from paying taxes, and this tax-exempt status extends to this solicitation. While the government does not pay taxes, we may still be required to pay these taxes to the hotel or service provider. To address this:
A. Will the government provide the necessary tax-exempt forms and documentation for us to submit to the hotel or service provider to exempt the government from these charges?
B. If taxes are initially charged, will the government assist in facilitating a refund or adjustment from the hotel or service provider once the tax-exempt documentation is processed?
Answer: Yes, tax-exempt forms can be provided. Local taxes and fees can be included.
Inquiry/Questions: The government does not pay service fees or gratuities.
Answer/Correction: The government will pay service fees but not gratuities.
