Response to Request for Quote W911SF-25-Q-A004
1. Are there any exceptions or deviations from the published per diem rates for this solicitation? No.
2. Can additional features in the conference room (e.g., whiteboards, audio equipment) be included, or will those be provided by the government? It is okay for them to be in the conference room of the hotel in addition to what was requested in the PWS
3. Will late submission of questions before the January 15, 2025, deadline be entertained in case of unforeseen clarifications? No.
4. What additional certifications, beyond SAM registration, are required for consideration? Only what is required by the solicitation.
5. How will the government evaluate the “fair and reasonable” pricing for this firm-fixed-price contract? Fair and reasonable price will be determined in accordance with the FAR.
6. Will past performance evaluations focus exclusively on similar hotel and conference services, or will broader hospitality experience be considered? This is requirement will be evaluated by lowest price technically acceptable
7. What is the timeline for payment once services are rendered? Payment will be disbursed as stated in Wide Area Workflow Payment Instructions
8. Are there any penalties for delays in service or non-compliance with the PWS requirements? Non-Compliance will be assessed in CPARS.
9. If there are unforeseen events (e.g., emergencies or government shutdowns), how will cancellations or rescheduling be handled? The Government reserves the right to terminate contract.
10. Are contractors expected to provide proof of liability insurance or additional documentation related to COVID-19 safety protocols? No.
11. Will a tax-exempt form be provided post-award and prior to check-in to ensure applicable taxes are waived during the lodging period? Yes.
12. Will the government provide a layout or specific instructions for the classroom-style conference room setup? No.
13. Does the specified 0.5-mile distance requirement allow for accommodations that are slightly farther but offer significant cost savings or better amenities? Please refer to requirement specifications.
14. Are there specific page limits, font sizes, or formatting requirements for the technical and past performance sections of the proposal, or are standard formatting practices acceptable? No.
15. Should quotes include applicable taxes, or are contractors expected to apply for a tax exemption due to the nature of the contract? Tax exemption should be applied
16. Will the approved vendor receive a New York Hotel Occupancy Tax Exemption Certificate to provide to the hotel? Yes.
17. Are the guests responsible for all associated costs outside of the room rates and conference room (food, transportation, room service, porterage service etc.)? I just want to be clear on what we would and wouldn't be responsible for. The Government is only looking for lodging and conference room services.
18. Will all the guests require parking? If so, are they responsible for parking? No parking
19. If guests require parking, does the hotel have to provide parking or can the guests park in a parking garage that isn't associated with the hotel? No Parking
20. Hotels are starting to replace projectors with TV monitors. Can we use hotels that don't have a projector but have an HDMI cable hookup capability, which allows the presenter to connect their computer and share their presentation on the TV monitor(s) in the room? Yes.
21. We would like to know if this is a brand-new contract OR if there is (was) an incumbent performing these services. This is a New Requirement If not brand new, could you please provide the current / previous contract number?
