28 July 2024

FROM: 139th AW, Rosecrans AFB 28 July 2024 FY 24 Airshow 705 Memorial Drive St. Joseph MO 64503 SUBJECT: Questions and Answers

1. What side of the tents are going to be guttered together?

Customer is not sure about the guttering, just believes it might be needed.

1. Instead of guttering, why don’t we do one large tent and if we need to divide the sides we can use an interior gable.

One large tent instead of two would be ideal

1. Can we stake the tents or do they need to be weighted with concrete blocks?

They need to be weighted with concrete

1. Will there be access to a 5k telehandler forklift on site or do we need to bring our own?

We have a forklift and driver available

1. For the sidewall, which sides are getting sidewall and do you want white vinyl, clear vinyl, hard white walls or glass walls?

The 3 sides facing away from the flightline will be sidewalled and they need to be white vinyl

1. Will you need any doors or lighting in the tent?

1. We need doors on the opposite side of the showline. No lighting necessary

1. What size tables would you like for seating?

8 person tables are ideal, no more than ten.

1. How many buffet stations and bars do you plan to have in the tent?

buffet station and 1 large bar.

1. Please confirm if the RFP is asking for tents with a total capacity of 300 or 600 people? I believe the request is for a total of two (2) tents with capacity of 300 people each (estimated dimensions of 60x80’) 300 people

1. Do you plan on having the tents connected together? It references tent guttering which is term of art in tenting for a product used to join two tents together – therefore, this makes me believe that the customer is actually wanting one large tent with total capacity for 600 people (estimated dimensions of 60x160 or 9,600sqft) made from joining two 60x80 tents together to make one large tent.

Guttering yes or one large tent for 300 people

1. Does the dimensions of the tent or tents matter as long as the total square footage is equal to or greater than 9,600 sqft? (For example a 40x240’ tent – which is 9,600 sqft) Length or Width shall not exceed 80’

1. Are there any tent width or length size restrictions due to the jobsite space limitations?

Length or Width shall not exceed 80’

1. Can the tent or tents be staked?

No stakes, we will provide concrete jersey barriers to anchor

1. Confirm you want tables to seat a total of 300 people? And a total of 300 chairs? (ie. 30 – 8ft banquet tables, or 30 – 6ft round tables – both of which have a capacity of up to 10 people) Tables for 150 per tent, total seats 300 per tent

1. Can tables be rectangular banquet tables or round tables?

Either shape is acceptable

1. Are standard plastic folding chairs fine, or is customer wanting something different?

Standard plastics folding chairs are fine

1. Please confirm a total of one portable Bar or two?

Two Portable Bars

1. It mentions buffet equipment – what is it requesting beyond the standard 8’ buffet table be supplied? Is customer wanting some sort of food service equipment as well??

2’x8’ tables

1. Does customer want linens for the tables? If so, what color and size?

White Linens; see revise statement of work

1. Were there any additional needs for staging, dance floor, etc?

No
