About this file

This document is a Questions and Answers (Q&A) document for Solicitation No. W50S6U26QA010 for the 195th Wing Senior Leadership Symposium Meeting Space, current as of 2 November 2025. The solicitation seeks a venue for a symposium on January 24-25, 2026, with requirements including a main ballroom/banquet space capable of accommodating 250 attendees with 25 round tables and 10 chairs each, 3 breakout rooms, and audio-visual equipment. While a hotel venue is preferred, non-hotel venues in proximity to lodging facilities may also be considered.

Key details include the symposium starting around 0800 each day, with events ending approximately 10pm on January 24 and 3pm on January 25. Notably, lodging and food/beverage services are not part of this solicitation. Attendees will be responsible for booking and paying for their own rooms using their Government Travel Card, and a dedicated reservation link is preferred. There was no incumbent contractor for this requirement, and the solicitation emphasizes that room blocking and additional services will be coordinated separately by the Symposium Planning Committee after the award is made.

Solicitation no.: W50S6U26QA010 Description: 195th Wing Senior Leadership Symposium Meeting Space Current as of 2 November 2025

Questions/Requests for Information

Q1. Do you need guestrooms?

A1. Yes, but this requirement is not part of this solicitation. Once award is made, the Symposium Planning Committee will reach out to the contractor/hotel to coordinate rooming block reservations of attendees. Guestrooms will be reserved and paid using the guest’s Government Travel Card (or GTC).

Q2. Will attendees be responsible for paying their own lodging, or should we secure rooms on a master account? We can certainly negotiate with the selected hotel to provide a dedicated reservation link so that attendees may book directly using their Government Travel Card, which will also ensure tax-exempt processing. In addition, we can provide a complete attendee roster two weeks prior to the event if that is helpful.

A2. Yes, event attendees will be responsible for securing and paying their lodging using their GTC but is not a requirement included in the solicitation. A dedicated reservation link is preferred.

Q3. Would you prefer that we block guest rooms and provide conference and breakout space at the same facility for convenience?

A3. Yes.

Q4. For planning purposes, kindly confirm whether we should block 250 room nights to align with the expected 250 attendees, or if lodging will be handled differently.

A4. To avoid inadvertently including lodging in the requirements of this solicitation, do not block rooms. However, you may inform the hotel (if you’re not the operator) of the Government’s requirement for 250 rooms. See related responses from A1 and A2.

Q5. Does the requirement include an FFP quote for overnight accommodations (estimated 250 rooms per night) in addition to the meeting space?

A5. See A1 and A2.

Q6. Are any food and beverage services required as part of this solicitation (e.g., breakfast, lunch, dinner or coffee breaks)?

A6. No, food and beverage services are not a requirement in this solicitation. Once the successful vendor has been selected and award has been made, the Symposium Planning Committee will coordinate (outside of the contract) with the awardee/hotel for food and beverage services.

Q7. If either food or beverage is required, please advise on whether it should be quoted as a separate Contract Line Item Number (CLIN) or integrated into the main FFP lot.

A7. Neither; see A6.

Q8. Could you please confirm whether there is an incumbent contractor who performed this requirement, and if so, may I know the contractor’s name and contractor number.

A8. There was no incumbent contractor who performed/provided this requirement for the 195th Wing at this place of performance.

Q9. In reference to Performance Work Statement paragraph 5.1.1.1.2, does this mean that the banquet/ballroom set up with 25 round tables with 10 chairs each is only for January 24, 206? Is this the final night? What time do the events on the 25th end?

Q10. What time does the symposium start on all days?

A10. The Symposium starts around 0800 every day.

Q11. Would you consider non-hotel venues like a ballroom if they met the requirements to fit 250 people in 2 configurations, 3 breakout rooms and audio vis[u]al equipment and support?

A11. We would consider non-hotel venues, if they were in proximity to our members lodging facilities. A hotel-venue is preferred.
