About this file
This document is a kickoff meeting presentation for an Elekta Linac System installation at a VA facility in Lexington, Kentucky scheduled for 2026. The presentation outlines the comprehensive implementation process, roles, responsibilities, and critical requirements for successful installation and commissioning of the radiation therapy treatment system.
The project timeline spans multiple phases beginning with site design finalization and permit acquisition, followed by vault construction with four site inspections (pit inspection approximately five weeks prior to delivery, progress inspection three weeks prior, final inspection one week prior, and transition to installation). The installation phase encompasses five weeks, including customer acceptance during the last three days, followed by MOSAIQ connectivity (three days), commissioning (two weeks), and training (eight to ten days), with clinical operations commencing Wednesday of Phase 1 training. Critical success factors include project ownership and mutual responsibility, primary client contact designation, general contractor coordination, IT infrastructure readiness, milestone adherence, and continuous communication. Elekta is responsible for delivering the Linac system, installation, MOSAIQ connectivity, acceptance documentation, training, and warranty/support initiation upon acceptance. The customer must provide an ELEKTA Ready Vault meeting strict specifications including floor flatness within ±2mm (1/16 inch) around the table pit, proper electrical and mechanical rough-ins, water connections, IT infrastructure with minimum 3MB dedicated network speed, distilled water, control room furnishings, and physics acceptance and commissioning. Standard scope includes PDU, CITB, SF6 and dry nitrogen gases, with optional items such as CCTV, patient intercom systems, green lasers, and graticule options available based on contract inclusions.

Milestones
Critical success factors
• Project ownership and buy-in—mutual responsibility
• Primary client contact
• General contractor
• IT infrastructure
• Meeting project milestones on time
• Maintaining continuous communication
Failure of the site inspections will result in the installation being pushed to the next available dates, typically 3–4 months later It is very important to stay on schedule!
• Once the Linac acceptance has been completed, the main point of contact on the customers side will receive an email from Experience@elekta.com which contains several questions about the overall project.
• Elekta uses this feedback for process improvement as well as employee evaluation. There is a specific question asking about your experience with your Project Manager which is especially helpful.
• We would ask that you please take the time to respond to this survey. The Project Manager will also follow up with the POC to ensure they received the survey and have no issues accessing it.
