About this file
This is a Request for Quote (RFQ) issued by the Commonwealth of Massachusetts Department of Fish and Game, Division of Fisheries and Wildlife (MassWildlife) for annual cleaning and preventative maintenance services on three heating systems located at two Western District facilities in Berkshire County. The solicitation, identified as DFW-2027-019 under Statewide Contract TRD01 (Tradesperson Installation, Repair and Maintenance Services), seeks quotes for maintenance on a Burnham Alpine 210B gas boiler at 88 Old Windsor Road in Dalton, a Thermo Pride OL20-151RB oil furnace at 400 Hubbard Avenue in Pittsfield, and an Austroflamm pellet stove at 88 Old Windsor Road in Dalton. All maintenance work must comply with manufacturer recommendations. The procurement coordinator is Cynthia Pratt (508-389-6315) and the site contact is Andrew Madden (413-684-1646). Responses must be submitted electronically through the COMMBUYS system by Tuesday, August 18, 2026, at 1 p.m. EST.
Evaluation criteria prioritize overall cost as a significant factor, with additional preference given to vendors submitting detailed Scopes of Work and those capable of servicing all three heating systems. Should technicians identify necessary repairs, alterations, or installations during maintenance, MassWildlife requires a detailed Scope of Work and separate quote before work proceeds, with a separate Purchase Order to be issued. All terms and conditions of MA Statewide Contract TRD01 apply. The Commonwealth is tax-exempt and will not pay sales tax; invoices must comply with the Massachusetts Comptroller's Bill Paying Policy. Vendors requiring assistance should contact the OSD Help Desk at 1-888-627-8283 or 617-720-3197 during business hours Monday through Friday, 8 a.m. to 5 p.m. EST, excluding state holidays.
