Tennessee Conservationist Magazine Printing Specifications
This printing specifications document outlines requirements for a printing contract with the Tennessee Department of Environment and Conservation (TDEC), specifically for The Tennessee Conservationist Magazine published by Tennessee State Parks. The Publisher seeks a contractor to print six issues per year on a bi-monthly schedule, with initial press runs anticipated at 7,000 copies per issue. The contractor must quote pricing for quantities of 7,000, 8,000, 9,000, and 10,000 copies per edition to accommodate subscription growth. The contract will have an initial two-year term with three optional one-year renewals. The tentative schedule begins with the September/October 2026 issue, with pre-press work commencing July 28, 2026, press operations beginning August 4, 2026, and delivery completed by August 18, 2026. The production schedule for subsequent issues is defined with specific pre-press start dates, press dates, and delivery deadlines through September/October 2028. Publisher will send print orders one month before each magazine goes to press to allow contractors to order appropriate paper stock quantities.
The specifications mandate that all work be performed in the contractor's own facility (except in emergencies with written permission), with no use of print brokers allowed. The contractor must provide proof of G7 Master Print facility certification and comply with detailed technical requirements including 40 inside pages plus paper cover, saddle stitch binding with three staples, use of FSC-certified Sustana recycled paper stocks, and UV ink. Line items for competitive bidding include magazine press runs at four quantity levels with spot gloss UV on outside covers, exterior wrapper printing, subscription card binding, proof delivery, proof revisions, publisher alterations, flat-rate delivery to three distribution points (mailing house, publisher's office, and 21 Tennessee State Parks), and hardcover binding of 11 annual editions. The publisher reserves the sole right to determine acceptability of all work and reserves authority to cancel the contract if quality standards are not met. Press checks must be scheduled during business hours (8:00 a.m. to 4:30 p.m., Monday-Friday) with 48-hour notice required; contractors located more than 50 miles from Nashville must cover all travel, lodging, and meal expenses for publisher representatives attending press checks.
