Statement of Work
Project: USLE Unit Plot Database Digital Preservation Project
Scope: We are requesting that a large format 36” x 50” flatbed scanner be rented or leased. in order to preserve in high resolution digital scans the entirety of the Universal Soil Loss Equation (USLE) Unit Plot Data, which is currently contained on roughly 6,000 fragile paper datasheets.
Automated crop and deskew functions will be used to scan individual datasheets which are 17” x 22” for normal sheets, 22” x 34” for foldouts, and larger for occasional table addendums and notes. Given the presence of handwritten notes, the scanner must be capable of producing 24-bit color and 8-bit greyscale scans at a minimum of 600 DPI optical resolution to preserve fine details such as color-faded periods and dots in cursive and print sentences throughout the record.
Multiple devices and/or operating systems will be used to interface with the scanner; thus, the scanner must be compatible with both PC (Windows 10) and MAC devices. Given the data storage size, the scanner must have at least gigabit ethernet connectivity to prevent transmission bottlenecks during scanning.
The contractor will provide shipping, on-site installation, training, troubleshooting/support, warranty, uninstallation, and return shipping of the scanner. The scanner must be capable of fitting through a standard doorway with a maximum width of 33”. A maximum width of 31” would be more ideal so that door(s) can remain on hinges for delivery and return shipping.
The scanner will be delivered to 275 S. Russell St., West Lafayette, IN 47906.
Period of Performance: Scans will commence immediately and continue until either all 6,000 datasheets are scanned, quality-checked, organized, and distributed for stakeholder feedback and rescanning or until project funding has been exhausted or expires. An initial period of performance will be for a period of three months with option to continue for one additional month if necessary to complete the project. Final delivery should be provided to ARS no later than July 1, 2023 or 10 business days following contract acceptance, whichever is sooner.
