1. Contracting Officer’s Representative (COR). N/A
2. Contract Title. Facilities and Audio Visual Support for the Defense Information Systems Agency (DISA) Fore-cast to Industry 2020
3. Background. DISA has hosted an annual Forecast to Industry in external venues since 2015. Facilities and Audio
Visual Support for the DISA Forecast to Industry 2020 is needed to assist in executing the Industry event for the or-ganization.
4. Objectives. The contractor shall supply facilities and audio visual services at their location for the 2020 DISA
Forecast to Industry. The event will be held on 16 November 2020. Facilities shall be available to DISA personnel from 6:00 AM through 5:00 PM. This will consist of accommodations for a dry run of presentations, registration starting at 7:00 AM and the event itself running from 8:00 AM to 4:00 PM. The contractor shall be responsible for facility and equipment set-up and tear down. Facility should not be more than 30 miles away from DISA headquar-ters on Fort Meade at 6910 Cooper Avenue, Fort Meade, MD 20755.
5. Scope. Provide facility and audio visual services at contractor location for DISA Forecast to Industry 2020 on 16
November 2020.
6. Specific Tasks.
The Contractor shall provide the following:
Task 1. Ballroom with theater seating for 1,100 people, a stage with four (4) sections, a backdrop, a podium, four
(4) working tables with black skirts and tops for the live stream company, Windrose and DISA staff, and four (4) screens with projectors.
Task 2. Separate and enclosed registration space to accommodate incoming attendees and DISA staff, no fewer than twelve (12) tables without table cloths of varying dimensions, ten (10) chairs, and floor stanchions with ribbons.
Task 3. Separate and enclosed networking (“program tables”) space, with no fewer than twenty-five (25) tables with a minimum of two (2) chairs per table.
Task 4. Separate and enclosed Media Roundtable / Senior Leader space. Three (3) large round tables with ten (10) chairs each in the back of the room and a closed square with seating for thirty (30) in the front of the room. The two sections will be separated by a curtain.
Task 5. Separate and enclosed room for the DISA Director. (No smaller than 18 feet (ft.) X 28ft. X 9ft.)
Task 6. Separate and enclosed room for the DISA Assistant to the Director. (No smaller than 18ft. X 28ft. X 9ft.)

Task 8. “Meet the Seniors” meeting space to include hi-top table for up to fifteen (15) senior leaders.
Task 9. Provide audio/visual services (labor and equipment) consisting of stage equipment, materials and labor; au-dio equipment, materials and labor; and Audio/Visual (AV) equipment, materials and labor per quote. HDMI (High
Definition Multimedia Interface) quality projectors and screens, 4 each; monitors; video camera; all peripherals;
dedicated technicians and videographer for the entire event; Wi-Fi and hard wired internet connections, microphones
Task 10. Provide five (5) hardwired internet connections.
Task 11. Provide Wi-Fi capability throughout the facility.
Additionally, the contractor shall provide:
1. Complimentary parking for up to 800 vehicles to include VIP and reserved parking spots.
2. Quick and easy “grab and go” lunch items for purchase. The contractor shall take orders in advance via their own system for availability on 16 November 2020 not to exceed $20.00 per person.
3. Hot Lunch Buffet items for purchase. The contractor shall take orders in advance via their own system availability on 16 November 2020 not to exceed $20.00 per person.
4. Fifty (50) sleeping rooms on hold for $109.00/night beginning on 15 November 2020. Block released two
(2) days prior.
5. Complimentary lunch room with tables and seating.
6. Complimentary water stations in all rooms.
7. Coffee for purchase by attendees and staff during the event.
