Audiovisual requirements for all rooms must accommodate virtual attendees and include a general session with mainstage podium, two lavalier microphones, four handheld wireless microphones, speaker system, and at least two screens; cohort breakouts with podium, one lavalier microphone, speaker system, two handheld wireless microphones, and one screen; and WiFi coverage for all rooms. The contract type is fixed-price with individual pricing for meeting space rental, A/V, and light refreshments. Budget number AU25-101 has been allocated through the OAE FY 2026 spend plan with adequate funding confirmed by OIG Budget Division (53B). Points of contact are Johan Thatil (johan.thatil2@va.gov) and Christine Mursalim (Christine.mursalim@va.gov). Evaluation criteria include cost, best value, surrounding area, and weather conditions, with three comparable bids obtained from the 50D Cost Effective app. Location selection is based on hotel availability for the specified dates, adequate meeting space for mission requirements, and proximity to dining facilities within 0.5 miles, as rental cars are not authorized and weather is a seasonal consideration.
