About this file

This is a Questions and Answers document clarifying submission procedures and lodging requirements for a hotel solicitation.

The document addresses two primary inquiries regarding the solicitation. First, it confirms that third-party vendors are permitted to submit proposals on behalf of qualified hotels, with contracting to take place through the third-party vendor rather than directly with the hotel. Second, it specifies that the selected hotel must maintain a block of rooms for attendees to independently book and pay for their lodging at the Federal Government lodging per diem rate. The hotel is required to accommodate a minimum of 106 attendees with arrival on Sunday, August 23 and departure on Friday, August 28. Each attendee bears individual responsibility for their lodging charges through an online booking link provided by the hotel.

Question and Answers

Regarding the referenced solicitation, to confirm, are third-party vendors permitted to make a submission on behalf of a qualified hotel? Or, will contracting take place directly with the hotel itself?

Yes, third-party vendors are permitted to submit on behalf of a qualified hotel.

Also, is the hotel to hold a block of rooms for attendees to call in (or use online booking link) and make their own reservations and pay those charges individually? If so, how many rooms? 106? Arrivals on 22 AUG and departures on 28 AUG?

Yes, the hotel must hold a block of rooms for attendees to book through a link on their own. Each attendee is responsible for paying for their lodging individually. Lodging must be at the Federal Government lodging per diem rate. We require enough rooms to accommodate 106 attendees to arrive on Sunday, August 23 and depart on Friday, August 28.
