Dear solicitors, Here are the questions and answers from Janitorial Pre-Conference held on 06/29/2017 at 10:00am to 11:00am.
QN: Does the contractor provide consumables and equipment?
ANS: Yes, all consumables and cleaning equipment are provided by the contractor. The embassy only provides water to be used for cleaning. All consumables should meet normal industry standards. What the embassy and what the contractor will provide are mentioned in the solicitation package. The contractor must provide submittals or samples on all consumable supplies.
QN: What is the acceptable dress code for the contractors/cleaners?
ANS: The contractor should provide his staff with uniforms for easy identification and avoid cases of inappropriate dress code.
ON: Are there any limitations on what chemicals are to be used?
ANS: Yes the embassy does not allow certain chemicals however the details of what should be used will be discussed with the winning contractor.
QN: How long does it take for security clearance of staff?
ANS: It is advisable that the winning contractor provides all their staff names including replacement staff for security clearance. There is no defined time line as there are many dependent factors involved in security clearance. Contractor is advised to have a representative at post to supervise their staff and always have a replacement ready in case there is a shortage in the cleaning staff.
QN: How many cleaning personnel do you need to perform the work?
ANS: The contractor is the one to designate the number of personnel to perform the duties. The contractor may be asked to defend number of staff if outside of typical industry manning.
QN: Suppose there is price fluctuation in the market, is there any contract revision?
ANS: Before contract revision, we have to carry out market research, to see whether there is price fluctuation or inflation in the country.
QN: How long does it take the staff to be cleared to start work?
ANS: It takes maximum 30 days.
