About this file

This document is an Addendum (No. 01) issued by Denver Arts & Venues (DAV) for Request for Proposal (RFP) No. 2024.31 regarding Sponsorship Activation Services. The addendum provides responses to nine vendor questions about sponsorship activation staffing at Red Rocks Amphitheatre and other City venues. Key details include clarification that activation staff are only scheduled for on-site activations, primarily at Red Rocks, but potentially at venues like Denver Coliseum, Arts Complex, and Bellco Theatre. The events requiring activation staff include concerts, Film on the Rocks, Yoga on the Rocks, and SnowShape events, with typically one staff member sufficient per event depending on the number of partners activating.

The addendum also addresses contract-related inquiries, revealing that the previous contract totaled $495,000 over five years, not $750,000 as initially stated. DAV indicates there was ample contract capacity to address minimum wage increases and advises vendors to submit proposals that adequately compensate for services. The solicitation is specifically for a defined pool and only available to vendors certified with Denver's Division of Small Business Opportunity (DSBO). No formal process exists for adjusting staffing levels, but levels can be modified weekly to best cover partner needs. Activation staff are not required to wear uniforms, only to be presentable and clean.

ADDENDUM NO. 01

RFP NO. 2024.31

Sponsorship Activation Services

The above referenced Proposal is hereby amended as follows and is hereby incorporated into and made part of this Proposal:

Additional questions received prior to the deadline with official City responses. Vendor questions are in BOLD. DAV responses are in ITALICS.

Q1. For the current sponsorship agreements, are activation staff required for every concert at Red Rocks?

A1. Activation staff are only scheduled for shows when we have an on-site activation.

Q2. Are there other types of events at Red Rocks or other City venues that require activation staff under these agreements?

A2. We utilize activation staff for Film on the Rocks, and all Yoga on the Rocks, and SnowShape events.

Q3. What is the typical or anticipated number of activation staff required per concert/event at Red Rocks and other relevant City venues?

A3. Typically one staff member is sufficient but it is dependent on the number of partners activating.

Q4. Do the current sponsorship agreements address the provision of uniforms for activation staff? If so, what are the specifications or requirements?

A4. Activation staff are not required to wear a uniform, just to be presentable and cleanly.

Q5. Is there a process in place for requesting change orders to address staffing needs at additional City venues or for increases in staffing levels at existing venues?

A5. There is not a formal process. Staffing levels can be adjusted on a weekly basis to best cover the partner needs.

Q6. To better understand the scope of work and associated staffing requirements, are the current sponsorship agreements available for review by bidders?

A6. We do not make previous contracts available during an open and active solicitation.

However, that information is available through a Colorado Open Records request once the solicitation is closed.

Q7. Question # 15 asks about managing activation staff at various City venues. Can you please confirm if this refers to venues in addition to Red Rocks Amphitheatre, or if it is intended to address staffing at Red Rocks as well?

A7. DAV partners can activate at any of the DAV venues but primarily they activate at Red Rocks. Activation staff members could potentially work at Denver Coliseum, Arts Complex, Bellco Theatre, or other DAV produced events.

Q8. Regarding the budget for the previous sponsorship management contract, was there a mechanism or allowance included to account for annual increases in Denver's minimum wage and associated increases in labor costs?

A8. There was ample capacity in the contract to address the increase in minimum wage.

Q9. As a small business, we are challenged with the projection budget/cash flow to absorb the increased staffing expense during the peak season. Is there flexibility on the monthly retainer arrangement?

A9. Vendors should submit a proposal that compensates them adequately for their services.

Q.10 Was the $750,000 of the previous contract for one year? Or for the entire 3-year contract?

A.10 That amount was listed incorrectly. The total amount should have been listed as $495,000.00. That was the total contract over the life of the contract, 5 years total.

Proposer shall initial here and attach to proposal. Failure to do so may be cause to consider your proposal non-responsive and cause for rejection.
