Statement of Work Summary

This Statement of Work (SOW) details maintenance service support requirements for a Leica Stellaris 8 FLIM confocal microscope located in the NCI CCR Microscopy Core at NIH in Bethesda, Maryland. The primary objective is to provide comprehensive maintenance and repair services for the existing microscope (Serial Number: 8300000688) used by NCI researchers for live cell and fixed cell confocal imaging of cancer cells and tissues to support cancer research operations. The contractor must supply all labor, materials, and equipment necessary to maintain and repair the instrument, performing one preventative maintenance inspection during the 12-month contract period (04/27/2026 to 04/26/2027) with all labor and travel charges included in the fixed price. Service coverage includes the 9FU_LL_Stellaris_D scanhead, 9PL_LAS_WLL8PP white light laser, 9PL_LAS_405nm laser module, and unlimited on-site repairs with replacement parts, along with prioritized response times for critical repairs and access to Leica OneCall Technical Support Center during standard working hours with minimum 2-hour callback response.

Service delivery requirements specify that all work must be performed on-site by factory-trained and certified Field Service Engineers using genuine Leica parts during standard business hours (9AM-5PM Monday-Friday, excluding contractor holidays), unless depot servicing is determined necessary. Personnel must have a minimum of three years' training and experience servicing the applicable instrument, with at least one qualified backup representative. The contract is structured as a Firm Fixed-Price Purchase Order with no separate deliverables schedule. Payment authorization requires submission and approval of invoices to the Contracting Officer's Representative (COR)/Technical Point of Contact, Michael Kruhlak, Ph.D., at the CCR Microscopy Core, and NIH Office of Financial Management in accordance with contract payment provisions.

Technical support and local service is needed for both hardware and software support to ensure optimal operating performance and maximum user time on the instrument with minimal “down-time” for repairs and/or training. This is necessary as any microscope downtime has the potential to affect the research of hundreds of NCI scientists.

3.0 OBJECTIVES

The primary objective of this project is to provide maintenance and repair services for an existing Leica Stellaris 8 FLIM confocal microscope located in the CCR Microscopy Core of the NIH/NCI/CCR/LCBG used for fixed and live cell confocal and confocal imaging of cancer cells and tissues in 3D to further cancer research.
