About this file

This is a Sources Sought Synopsis (market research document) issued by the United States Air Force for a modular trade-show exhibit booth to support the Air Force Band's outreach and recruiting activities. The NAICS code is 339950.

The Air Force Band requires a reusable, collapsible exhibit system built from aluminum extrusion, modular aluminum panels, or equivalent lightweight metal framing designed for repeated commercial trade-show use. The structure must be self-supporting, compatible with standard convention-center requirements, and designed for a minimum seven-year service life under repeated nationwide shipping, assembly, dismantling, and storage. The contractor must provide commercially replaceable parts, a recommended spare-parts kit with replacement-part identifiers, parts availability documentation, and standardized structural hardware. The exhibit must include replaceable silicone-edge fabric graphics or equivalent tension-fabric system that is color-managed, wrinkle-resistant, flame-retardant per venue requirements, and individually replaceable without frame replacement. The contractor shall provide final print-ready graphic templates and color profiles to the Government. The booth must include at least one modular reception or recruiting counter with a durable work surface, lockable concealed storage, integrated cable pass-throughs, and lighting. Energy-efficient lighting, power distribution, branch cabling, surge protection, and labeled connection points must be included, with all electrical components commercially listed or certified where applicable. The contractor must identify total connected load, recommended circuits, voltage requirements, and any venue electrician work not included. A centrally positioned digital display system with a visible image area comparable to a 75-inch class, 16:9 commercial display must function as the multimedia focal point. The purchase includes the display device, structural mount, mounting hardware, power cord, signal cabling and adapters, cable concealment, remote-control accessories, and initial configuration. If separate media playback devices, control components, software, or licenses are necessary, the contractor shall include them in the base price or identify them as separately priced options, providing complete specifications for all major components including manufacturer, model, display technology, diagonal size, physical dimensions, native resolution, brightness, viewing angle, supported inputs, power consumption, weight, mounting requirements, certifications, and warranty.

This is market research to identify potential responsible sources capable of meeting all stated requirements. The requirements are not military-unique and can be acquired in the commercial market sector and performed by any business type (large or small). The Government will use gathered information to determine the best acquisition strategy and is interested in all potential businesses capable of executing the work described.

Sources Sought request for AF Band Event Booth.

North American Industry Classification System (NAICS) Code: 339950

Requirement Information: The United States Air Force Band requires a modular trade-show exhibit for United States Air Force Band outreach and recruiting activities.

The exhibit booth must meet the following critical performance requirements:

● The primary exhibit structure shall use reusable, collapsible aluminum extrusion, modular aluminum panels, or an equivalent lightweight metal framing system designed for repeated commercial trade-show use. The structure shall be self-supporting within the exhibit footprint and compatible with typical convention-center requirements.

● The system shall be designed for a minimum anticipated service life of seven years under repeated nationwide shipping, assembly, dismantling, and storage. Frequently handled parts shall be commercially replaceable. The Contractor shall provide a recommended spare-parts kit, replacement-part identifiers, and a written statement describing expected parts availability.

Structural hardware shall be standardized to the greatest extent practicable.

● The Contractor shall produce replaceable silicone-edge fabric graphics or an equivalent tension-fabric system sized for the modular frame. Graphics shall be color-managed, wrinkle-resistant, flame-retardant as required by common convention venues, and individually replaceable without replacing the underlying frame. The Contractor shall provide final print-ready graphic templates and color profiles to the Government.

● The exhibit shall include at least one modular reception or recruiting counter with a durable work surface, lockable concealed storage, integrated cable pass-throughs, and lighting.

● The Contractor shall provide energy-efficient exhibit lighting, power distribution, branch cabling, surge protection, and labeled connection points needed for the furnished exhibit components.

Electrical components shall be commercially listed or certified where applicable. The Contractor shall identify total connected load, recommended circuits, voltage requirements, and any venue electrician work that is not included.

● The exhibit shall include a centrally positioned digital display system that functions as a multimedia focal point. The visible image area shall be comparable to a commercial 75-inchclass, 16:9 display.

● The purchase shall include the digital display device, structural mount and mounting hardware, power cord, signal cabling and adapters, cable concealment, remote-control accessories, and initial configuration required for normal operation. If a separate media playback device, control component, software, or license is necessary to meet the requirement, the Contractor shall include it in the base price or clearly identify it as a separately priced option. The Contractor shall identify the manufacturer, model, display technology, diagonal size, physical dimensions, native resolution, brightness, viewing angle, supported inputs, power consumption, weight, mounting requirements, certifications, and warranty for each major component.

The purpose of this Sources Sought is to conduct market research to identify potential responsible sources. For the purposes of this inquiry, a responsible source is defined as an entity capable of providing an exhibit booth that meets all aforementioned requirements.
