The contract covers comprehensive convention services for an event at the Lewis and Clark Fairgrounds in Helena, MT, featuring up to 150 10'x10' booths with specific technical requirements including pipe and drape, electrical services, carpeting, registration counters, and materials handling. Key dates include a vendor response deadline of 09/29/2023 at 2:00 p.m. MST, convention service setup from 03/05/24-03/07/24, exhibitor load-in from 03/07/24-03/09/24, and on-site convention services on 03/08/24 and 03/09/24.
The proposed contract is valued at $35,000 and is designed to support small business growth in the state and region by providing comprehensive convention services that many local vendors cannot fully execute. The State Procurement Bureau is soliciting written comments from potential vendors who believe they can provide equivalent products and services, with the understanding that if no viable alternative is presented, they may proceed with awarding the contract to K&J Convention Services. Interested vendors must submit detailed descriptions of their capabilities through the eMACS procurement system, with the state retaining discretion to determine whether to compete the purchase based on the responses received.
