About this file
This document contains bid terms and conditions for a specialty lumber contract issued by the State of Maine, Division of Purchases, for the furnishing of softwood pine lumber to various state agencies and institutions. The contract covers 4/4 Premium Grade White Pine Lumber with moisture content of 8-10%, planed on three sides, with widths ranging from 6" to 10" and lengths from 6' to no longer than 10'. The contract period runs for one year, beginning approximately May 15, 2010 through May 31, 2011, with the State of Maine retaining the right to renew for two additional one-year periods with contractor consent. The estimated yearly contract value is approximately $20,000, though the actual value will reflect all quantities ordered by state agencies during the contract term, whether more or less than this estimate. Bidders are required to provide documentation on delivery times and procedures, including the number of delivery days from receipt of order.
Pricing for the contract must remain firm for the entire contract duration, with prices including all transportation charges on an F.O.B. Destination basis. Price increases are permitted only when supported by documented evidence of general industry changes, such as revised manufacturer price lists, or changes in state or federal law, and are subject to State rejection if deemed excessive. The State reserves the right to seek additional discounts or contract separately for large-quantity projects that would generate cost savings. All invoices must be issued within 30 days of delivery and must reference the contract number and vendor customer number. The State of Maine requires vendors to accept the State Procurement Card as payment with no surcharges allowed. Bidders must also indicate their willingness to extend contract pricing to political subdivisions and Maine school districts, either unconditionally or with specified conditions. The sole contact for this procurement is Bambi L. Tefft, Buyer II, at the State of Maine Division of Purchases.
