About this file

This is a Seller Checklist document issued by the City of Philadelphia Procurement Department for submission of quotes on small purchases through the PHLContracts platform. The document outlines the step-by-step procedure that vendors must follow to submit a quote for a Frigidaire 13.9 cubic foot refrigerator in Pennsylvania. Sellers must ensure they are operating in the Seller role rather than Seller Admin role, select whether their business is certified as a Local Business Entity, enter unit costs for all listed items, answer all mandatory questions, and accept the terms and conditions of the bid. The micro purchase will be awarded as a whole or by line item, whichever serves the City's best interest, to the lowest responsive and responsible bidder. Vendors must quote all items to be eligible for award and must not deliver or provide services until notified by the department.

Submission requirements include downloading and saving all attachment documents, submitting an executed Consent & Authorization form in the vendor profile (no quote will be considered without this form on file), and optionally submitting an LGBTQ Applicant Opportunity Data Form. Vendors must complete all tabs in the system, address any red validation warnings, and submit their quote through www.PHLContracts.phila.gov. The checklist emphasizes saving and continuing on every tab to ensure proper submission and to resolve validation messages before final submission.
