About this file
This is a Seller Checklist for Small Order Purchases issued by the City of Philadelphia Procurement Department through the PHLContracts platform. The document outlines the procedural steps required for vendors to submit quotes for a micro purchase opportunity related to maintenance for BQ50 machines in Pennsylvania. Sellers must complete all designated tabs within the submission system, including the General, Items, Questions, Terms & Conditions, Attachments, and Summary tabs, to ensure their quote is eligible for consideration. The procurement will be awarded as a whole or by line item, whichever serves the City's best interest, to the lowest responsive and responsible bidder. Vendors are instructed not to deliver or provide services until officially notified by the department.
The checklist requires sellers to enter unit costs for each listed item, answer all mandatory questions, accept the terms and conditions of the bid, and provide a Consent & Authorization form either from their existing vendor profile or as a new attachment. All required documentation must be submitted with the quote, and sellers must review their complete submission for any validation warnings before final submission. No quote will be considered without a valid Consent & Authorization form on file. Vendors must quote all items to remain eligible for award consideration.
