About this file

This is a Seller Standard Operating Procedures (SOP) Checklist document for a Special Collections micro purchase opportunity with the City of Pennsylvania. The solicitation will be awarded as a whole or by line item, whichever serves the City's best interests, to the lowest responsive and responsible bidder. Sellers must quote all items to be eligible for award consideration. The checklist establishes procedural requirements for vendors participating in this procurement, including submission of item specifications with bids and maintenance of firm pricing throughout the hold period. Vendors are instructed not to deliver or provide services until receiving formal notification from the department. The opportunity references a URL for additional project details and specifications.

The document serves as an operational guide to ensure compliance with the City's procurement standards and vendor requirements. Pricing must remain firm for the duration of the hold period, and all bidders must provide detailed item specifications alongside their pricing proposals. This checklist format indicates the City's structured approach to managing the bidding process and establishing clear expectations for vendor participation and performance prior to contract award.
