About this file

This is a Seller SOP Checklist document from the City of Philadelphia Procurement Department for use in submitting quotes on small purchases through the PHLContracts platform. The document outlines a 13-step process for vendors to complete and submit bids for the Replacement Chainsaw Chains micro purchase in Pennsylvania. This micro purchase will be awarded as a whole to the lowest responsive and responsible bidder, and sellers must quote all items listed to be eligible for award. No delivery or provision of services should occur until the vendor receives official notification from the department. The resulting contract will be classified as a "Requirements" contract.

The checklist requires vendors to confirm their seller role, designate Local Business Entity (LBE) certification status, enter unit costs for each item, answer all mandatory questions, accept terms and conditions, and submit required attachments including an executed Consent & Authorization form. Vendors must also have any required documentation on file and may optionally submit an LGBTQ Applicant Opportunity Data Form. All validation warnings must be resolved before submission through the PHLContracts.phila.gov portal. The document emphasizes saving progress at each step to prevent loss of work during the quote preparation process.
