About this file

This is a seller checklist document for the City of Philadelphia Procurement Department, designed to guide vendors through the submission process for small purchases via the PHLContracts platform. The checklist provides step-by-step instructions for completing a quote submission, including selecting the appropriate seller role, answering mandatory questions across multiple tabs (General, Items, Questions, Terms & Conditions, Attachments, and Summary), and ensuring all required documentation is properly submitted before finalizing the bid.

The checklist requires vendors to confirm their business classification status, enter unit costs for listed items, download and accept all terms and conditions, and submit a valid Consent & Authorization form as a prerequisite to bid consideration. Additionally, vendors are encouraged to submit an optional LGBTQ Applicant Opportunity Data Form and may attach supporting documentation related to their quote. The submission process involves multiple validation checkpoints, with red warning messages appearing until all required fields are completed, and vendors must review their final quote summary before submission through the PHLContracts portal at www.PHLContracts.phila.gov.
