About this file
This is a Seller SOP Checklist document from the City of Philadelphia Procurement Department for the PHLContracts platform, used to guide vendors through the submission process for a small purchase of Swivel High Back Chairs in Pennsylvania. The checklist outlines the required steps for submitting a quote, including verifying seller role assignment, completing the general tab by confirming Local Business Entity (LBE) certification status, entering unit costs for all listed items in the Items Tab, answering mandatory questions, and accepting terms and conditions. Sellers must ensure they are operating under the Seller role rather than Seller Admin role, and all tabs must be completed and saved before submission to prevent validation errors.
The submission process requires vendors to download and save all attachments from the Terms and Conditions Tab, submit a valid executed Consent and Authorization form (either existing in the vendor profile or attached with the quote), and optionally complete the LGBTQ Applicant Opportunity Data Form. The micro purchase will be awarded in whole or by line item, whichever serves the city's best interest, to the lowest responsive bidder. Sellers must quote all items to be eligible for award and are instructed not to deliver goods or provide services until receiving official notification from the department. The quote must be reviewed for red validation warnings on the Summary Tab before final submission through the PHLContracts.phila.gov platform.
