About this file
This is a Seller Office Automation Checklist from the City of Philadelphia Procurement Department, designed to guide vendors through the quote submission process for the Office Automation Program via the PHLContracts platform. The checklist outlines a systematic approach for vendors to prepare and submit bids, requiring completion of multiple tabs including General, Items, Questions, Terms & Conditions, Attachments, and Summary sections. Vendors must confirm their seller role, answer mandatory questions, enter unit costs and discounts for each listed item, review and accept the program's terms and conditions, and submit all required supporting documentation. The related contract opportunity involves Cisco Meraki access points and switches for the City of Philadelphia, which will be structured as a requirements contract requiring vendors to provide installation and configuration services unless otherwise directed.
The Office Automation Program does not apply the Local Business Entity (LBE) certification requirements, though vendors must respond to this question to proceed. All deliveries must be inside deliveries to a loading dock, and drop shipments are not acceptable. Vendors are required to submit product literature at the City's request and must provide detailed cost proposals that include installation and configuration expenses. The checklist emphasizes proper validation and completion of all required fields before submission, with red validation messages appearing until all mandatory information is provided and properly saved throughout the quote process.
