About this file
This is a Seller Checklist for Small Order Purchases issued by the City of Philadelphia Procurement Department for a micro purchase opportunity designated CWR IT Equipment. The checklist outlines the procedural requirements for vendors submitting quotes through the PHLContracts platform. The City will award this micro purchase as a whole or by line item, whichever serves the City's best interest, to the lowest responsive and responsible bidder. Sellers must quote all items listed to be eligible for award consideration. The document does not specify quantities, response dates, due dates, or contract term details, as these elements are managed through the separate PHLContracts online portal. No delivery or services should commence until formal notification is received from the department.
The checklist emphasizes critical compliance and submission requirements that vendors must complete to have their quotes considered. Vendors must confirm their Seller role status, designate Local Business Entity (LBE) certification status if applicable, enter unit costs for all items, answer all mandatory questions, accept terms and conditions, and submit a valid Consent & Authorization form, which is mandatory and must be on file or attached with the quote. Optional documentation includes the LGBTQ Applicant Opportunity Data Form. All validation warnings and red error messages must be resolved before quote submission. The document does not contain information regarding pricing structures, set-asides, incumbent vendors, funding sources, or budget amounts, as these details are contained within the contract opportunity specification itself on the PHLContracts platform.
