About this file

This is a Seller Checklist for Small Order Purchases issued by the City of Philadelphia Procurement Department through the PHLContracts platform. The document outlines the procedural requirements for vendors submitting quotes for a Generator small order purchase in Pennsylvania. Sellers must complete all required tabs in the online bidding system, including the General, Items, Questions, Terms & Conditions, Attachments, and Summary tabs. The procurement will be awarded as a whole or by line item, whichever serves the City's best interest, to the lowest responsive and responsible bidder. Sellers must quote all items listed to be eligible for award and are instructed not to deliver or provide services until receiving official notification from the department.

The checklist requires vendors to confirm their Local Business Entity (LBE) certification status, enter unit costs for each bid item, answer all mandatory questions, accept the terms and conditions, and submit required documentation including an executed Consent & Authorization form. An optional LGBTQ Applicant Opportunity Data Form is available for submission. Vendors must ensure they are operating in the Seller role rather than Seller Admin role to properly complete their quote submission. All validation messages must be resolved before the quote can be submitted through the PHLContracts.phila.gov platform.
