About this file

This is a Seller Checklist document from the City of Philadelphia Procurement Department for small order purchases on the PHLContracts platform, specifically related to a micro purchase for a CCOM Wire Computer Cart (30x24x40). The document outlines the step-by-step submission requirements for vendors participating in this procurement opportunity. Sellers must complete multiple tabs within the online system, including General, Items, Questions, Terms & Conditions, Attachments, and Summary sections. The micro purchase will be awarded as a whole or by line item, whichever serves the City's best interest, to the lowest responsive and responsible bidder. Critically, sellers must quote all items to be eligible for award consideration, and delivery or service provision should not commence until official notification is received from the responsible department.

The checklist requires vendors to designate their seller role status, answer all mandatory questions, enter unit costs for each listed item, and accept the terms and conditions of the bid. A Consent & Authorization form must be on file in the vendor's profile or attached to the submission; no quote will be considered without this documentation. Vendors are encouraged to submit the optional LGBTQ Applicant Opportunity Data Form and may attach additional documents relevant to their quote. While the Local Business Entity (LBE) Program does not apply to small order purchases, vendors must still respond to the LBE certification question to proceed. All validation messages must be resolved before quote submission, and sellers are directed to review and submit their bids through the PHLContracts portal at www.PHLContracts.phila.gov.
