About this file
This is a Secondary Request for Proposal (RFP) issued by the California State Summer School for the Arts (CSSSA) seeking a host site for its summer arts program. The RFP solicits proposals from potential contractors to provide comprehensive facilities, housing, food, personnel, equipment, and services for hosting the CSSSA Summer Program from 2026 to 2028, with optional renewal for 2029 and 2030. The program requires a host site located in California capable of accommodating up to 500 students ages 13-18 and approximately 100 faculty for a four-week summer session. Key dates include an RFP release on July 18, 2025, an optional in-person site tour on July 28, 2025, a virtual pre-proposal conference on August 6, 2025, draft proposal submission by September 19, 2025, and final proposal submission by October 22, 2025. The estimated contract award date is November 24, 2025, with a contract start date of December 19, 2025.
Proposers must meet minimum qualifications, including having provided residential educational programming services for at least 5 years and being located in California. The evaluation process involves a three-phase scoring system with a maximum of 1,000 points, considering factors such as introductory response, facilities, housing and food services, personnel, interviews, and cost. Small businesses and Disabled Veteran Business Enterprises (DVBE) may receive additional preference points. The contract will be awarded to the highest-scoring responsive proposer, with CSSSA reserving the right to award multiple contracts to the top three proposals. Proposers must submit various attachments, including references, key personnel resumes, insurance documentation, and compliance forms. The RFP emphasizes the need for comprehensive facilities, safety considerations, and the ability to host a residential arts program for talented high school students.
