Statement of Work (SOW) Project: HCTC Avaya Phone System Installation
GENERAL INFORMATION
1.0 Scope of Work:
HCTC Business services will install and configure an AVAYA IP500 V2 VoIP phone system for United States Department of Agriculture (USDA) 2700 Fredericksburg Road, Kerrville, TX 78028. The Avaya phone system control unit will be rack mounted and will consist of fifty-five J179 VoIP phones for pre-wired locations. An additional five phones are quoted as spare stock. This SOW is intended for installation of the phone system control unit and voicemail server in a pre-determined temporary location. Future relocation of the phone system control unit and voicemail server will be performed under a separate work order.
2.0 Installation and Wiring:
This proposal includes the cost of the IP500 V2 control unit, voicemail pro software (to be deployed on customer server – Linux distro) and phones. A UPS for the control unit and voicemail server is not provided for in this proposal. It is assumed that USDA will provide the UPS for the rack location. This proposal includes all labor costs to install the VoIP phones and control unit at customer determined locations. The installation cost quoted is predicated on all inside wiring and jacks to be in working condition from the individual phone stations to the switch locations at the time that HCTC begins the installation. The installation cost is also predicated on the network connectivity to the AVAYA control unit from individual campus buildings to be in working order.
3.0 Background:
Currently the Knippling-Bushland U.S. Livestock Insects Research Laboratory located in Kerrville, TX is in the process of relocating data center to make way for a new facility. Currently the site uses a Cisco Unified Communications VoIP Telephone system that is no longer covered by a warranty nor under contract for support and will require to be upgraded or replaced to be used with the new communications provider for data access. The new system must also be able adjust to transition into the new facility once construction is done.
The research laboratory is also susceptible to outages due to severe weather and other Act of God events as was demonstrated during the 2021 freeze and snow event. This requires an immediate resolution to reconnect data and communications to the site communications were down for several days and many parts of the site do not have cell coverage creating an unsafe liability in the event of an emergency.
4.0 Schedule:
The installation will be completed within three (3) months of signed proposal. If the USDA places a hold on the project that will result in the timeline being longer than three (3) months, the project will be closed until Customer is ready.
