About this file

The document is an Addendum (#2) to a Request for Proposal (RFP-RH-23-051) for HVAC Preventative Maintenance Services issued by the City of Rochester Hills, Michigan. The RFP involves a site visit and pre-proposal meeting held on October 11, 2023, which included walkthroughs of multiple municipal facilities: City Hall, Fire Station #1, Oakland County Sheriff's Substation, and the Department of Public Services Garage. Contractors were encouraged to register on the Michigan Intergovernmental Trade Network (MITN) to receive addenda and award information, with proposals required to be submitted through MITN. The pre-proposal meeting was not mandatory, and all questions from potential bidders were to be submitted by October 13, 2023, at 11:30 am.

The addendum includes seven questions and answers from the pre-proposal meeting, covering details such as chiller unit maintenance, equipment labeling, current service provider (K & S Ventures, Inc.), and maintenance frequency. Key insights include that the City's Facilities Staff frequently cleans chiller unit coils, exhaust fans need to be checked twice a year, and some equipment details remain unknown, such as the labeling of Variable Air Volume Boxes and the potential replacement of units at the Department of Public Services. The document also includes a sign-in sheet from the site visit, documenting four companies in attendance: RW Meed, Stuart Mech., Wm. Floyd, and Detroit Boiler.
