About this file

The file is an Excel spreadsheet containing Request for Proposal (RFP) questions for a cooling tower replacement or repair project. The document includes six specific questions from bidders regarding mechanical specifications, pump details, piping schematics, and project requirements. The project involves replacing water inlet balancing chambers, potentially replacing pumps, and completing work by September 30, 2025 (extended from an original September 1, 2025 deadline). Bidders are advised that a site visit is crucial for collecting necessary mechanical information, as limited documentation is available.

Key project considerations include maintaining cooling capabilities during the repair process, with potential requirements for rental towers and equipment to ensure continuous cooling from 6am to 6pm, Monday through Friday. The state indicates flexibility regarding liquidated damages, particularly for custom-made equipment with extended lead times. Specific technical requirements include using galvanized TEE for inlet balancing, restoring automated water flow balance, and ensuring comprehensive pump documentation. The project appears to be focused on maintaining critical cooling infrastructure with minimal operational disruption.

Q #Document and SectionPage #Bidder QuestionResponse
1N/AN/AThere were only two out of the six tower pumps that had the original pump tag. Both tags indicated 40HP motors, however there is one 50HP pump at tower #3 with no information of the pump capacity/performance. Can you provide a complete pump schedule for all six pumps?Limited mechanical data and specifications is available. What is available is attached. It is vital the bidder collect enough information through the site visit.
2N/AN/ACan you provide schematics of roof level CW piping with sizing and valve information?Limited mechanical data and specifications is available. What is available is attached. It is vital the bidder collect enough information through the site visit.
3Schedule A – Statement of work contract activities1Please verify that as the scope indicates, replacing the water inlet balancing chamber with a galvanized TEE will circumvent any means of balancing the water flow to the hot water basins. Is not having means to balance flow acceptable?Automated balancing of flow was originally part of the system. The intention of this project is that automated water flow balance is restored.
4N/AN/AIs it acceptable to replace the inlet balancing TEE with a PVC TEE, as opposed to galvanized, to match the existing tower piping? All inlet balancing tees should be galvanized.
5Schedule A – Statement of work contract activities1As stated in Schedule A, all work must be completed prior to September 1, 2025, so that this work will be performed during the summer. Is it expected that our bid will include the cost for rental towers, equipment, and means of connection to existing systems if needed for the duration of repair?Cooling is necessary Monday through Friday, 6am to 6pm. If each individual unit cannot remain at least partially functioning, then whatever means and methods as may be necessary, rental equipment, after-hours work or other options should be included. The completion goal is hereby extended to September 30, 2025.
6N/AN/AWould the terms of liquidated damages apply to extended lead times of materials such as the pumps which are custom made per application?Yes, but the state will use discretion on enforcing liquidated damages incorporating an understanding of things that are outside the control of the successful bidder. The completion goal is hereby extended to September 30, 2025.
