About this file

This is a Q&A document for RFP #190000000007 issued by Van Buren Schools for Quarterly Newsletter Publishing, Printing, and Mail Preparation services. The RFP seeks a vendor to produce a quarterly newsletter, which is a new initiative for the district following their first newsletter publication in August 2018. The district is accepting bids for printing on 70 lb., 80 lb., and 100 lb. gloss-text paper, with no specific proposal format required beyond following the scope of work requirements.

The vendor selection criteria prioritizes cost as the primary consideration, followed by references and the ability to deliver quality products on schedule. Union printing is not a requirement for this contract. The district has clarified that they specifically want gloss-text paper rather than offset paper, accepting quotes on both 70 lb. and 100 lb. weights. The RFP documents are only available in non-editable scan format through the SIGMA site or Van Buren Schools link.

RFP Questions and Answers

Quarterly Newsletter Publishing – Printing – Mail Preparation

REP# 190000000007

Q1. Would the district consider a difference weight of paper to save dollars?

A1. Yes, at the Q&A meeting, 70 lb., 80 lb., and 100 lb. samples were presented. The district will accept bids on all three weights of gloss-text.

Q2. Are you looking at replacing your present vendor?

A2. The quarterly newsletter is a new initiative for the district. We have published and distributed an

August 2018 newsletter. We are now seeking a contract with a vendor to continue our efforts.

Q3. Is it more favorable for the newsletter to be union printed?

A3. It is not a consideration.

Q4. Should the proposal follow a specific format?

A4. No, just follow the scope of work requirements.

Q5. Is there more clarification on what criteria will be used for vendor selection?

A5. As a public entity, our first priority will be cost. References will be checked. A quality product meeting deadlines will be our focus.

Q6. Are you able to provide answers to questions that were asked at the proposal bid meeting that took place in Belleville earlier today?

A6. Yes, all questions received during the bid meeting, by phone, and by email are included in this response.

Q7. The only RFP on SIGMA site or in link to Van Buren Schools appears to be a SCAN doc that I am unable to fill out forms from. Can you steer me right, or send an editable doc?

A7. We do not have an editable document to share.

Q8. The bid states 100 lb. offset gloss cut or similar but offset and gloss are two different papers at two different costs. Can you clarify which one it should be?

A8. Gloss text. We are also accepting quotes on 70 lb. gloss-text.
