About this file
The document is a Request for Proposal (RFP #7-25) issued by the City of Cheyenne, Wyoming, seeking catering services for a one-time special event. The City is soliciting proposals from catering companies to provide food truck-style catering for its annual employee picnic, scheduled for August 27, 2025, from 10:30 a.m. to 1:30 p.m. at Lions Park. The event will accommodate approximately 750 people, and the City intends to select multiple food trucks to provide entrees and potentially desserts. Proposals must be submitted via the City's eProcurement Portal, with food trucks required to serve one menu item at either a $10 or $12.50 per person price point for entrees, and a separate pricing structure for desserts.
The evaluation of proposals will be based on four equally weighted criteria: responsiveness to RFP requirements, menu diversity and innovation, perceived value of menu offerings, and relevant experience and qualifications. Each proposal must include a cover letter, minimum qualifications, catering experience, proposed menu, and a copy of the City-issued 'Food Wagon' license. The City will provide beverages and potentially condiments and chips, and payment will be made via check on the day of the event. Caterers are responsible for providing all necessary equipment, power, and water, as no on-site utilities will be available. The City reserves the right to select multiple food trucks to ensure a diverse menu and meet the event's catering needs.
