About this file
This is a Questions and Answers document issued by the DeKalb County School District Purchasing Department in response to vendor inquiries regarding RFP 26-727 for District Wide Evening Preventative HVAC Maintenance Services. The District anticipates awarding multiple contracts to qualified contractors, with awardees assigned specific geographic areas or school sites. Preventative maintenance work will be issued by DCSD Staff on a work order basis at a quarterly frequency per unit type. Responses must be received by 12:00 PM on Friday, March 20, 2026, with a virtual public bid opening scheduled for 11:00 AM on Tuesday, March 17, 2026, and formal responses opening beginning 3:00 PM EST on Thursday, April 2, 2026. Services will be performed during evening hours, with DCSD Staff available to coordinate scheduling and serve as the primary point of contact. The District will provide standardized preventative maintenance task checklists by equipment type; however, asset lists and facility maps will not be provided upfront, and DCSD Staff will confer directly with contractors regarding equipment inventory and location details.
The District maintains a current filter supply contract, and contractors are responsible for noting filter conditions during PM visits while filter procurement remains under the existing contract. Major deficiencies or corrective repairs identified during preventative maintenance that exceed minor adjustments will be procured through existing HVAC repair contracts rather than this PM contract. Contractors will not be held responsible for latent equipment failures not reasonably detectable during routine inspections, and access-related limitations that prevent PM completion will be handled on a case-by-case basis in consultation with DCSD Staff. All responding vendors must provide a Certificate of Existence issued by the State of Georgia as part of their submission package. The RFP pricing structure and contract term details are not specified in this Q&A document.
