About this file
This is an Addendum 1 to RFP 22-140 for a Copier Lease opportunity in Georgia, consisting of responses to bidder questions regarding equipment specifications and operational requirements. The entity operates a print shop with an average monthly volume of 950,000+ combined black and white and color copies across multiple devices, with an additional school-based fleet for which numbers were to be provided if received timely. The organization requires equipment capable of finishing, stapling, and punching 2–3 holes in paper weights of 20–90 pounds, with scanning functionality that integrates with Google Workspace (G Suite) and supports document streaming and box functions between computers and copiers. The selected vendor must provide 24-hour on-site support beginning immediately upon service call placement and utilize PDQ for print driver distribution to new hires and computers. The procurement allows only one bid per vendor, and lease projections for option years 4 and 5 will be considered in vendor evaluation, with clear cost outlining required for these optional years.
The current environment includes no existing Papercut or output management software, no requirement for cloud-based credential validation printing at this time, and use of a 2-knife trimmer system with openness to alternative solutions. The organization will not consider financial aspects of credential-based printing software in the current bid, designating this as a post-award decision with the selected vendor. Current invoices for print and scan volumes and configuration pages for the previous year will not be provided to bidders. The contract term includes primary and optional renewal years 4 and 5, with cost projections for these extensions factoring into vendor selection decisions.

What is your 12-month average print volume for all devices? Average print volume for the print shop is 950,000+ copies per month. This is B/W and Color combined. We have requested numbers for our school-based fleet. If received in time, I will post.
Do your teachers/faculty scan to any cloud storage solutions? If yes, what solution?
Currently teachers use G Suites, a Google work space.
Do you currently have a solution for pushing out print drivers to new hires/new computers? Yes, we use PDQ for this.
Do you have the need for faculty to print from any copier with validation credentials? , Not at the present time nor should the financial aspects of such software be included in the bid. This would be a post-RFP decision with the selected vendor.
Do you have any other needs for the professional punch unit aside from 3-hole punch?
The Professional unit will need to finish, staple, and punch 2-3 holes in
20-90 lb. paper weight
Please describe what you are using the streaming function and doc box functions for.
From computer to copiers, and scan and send to computer.
Do you require 24-hour on-site support or just a response 24 hours from when a service call is placed? We require 24-hour on-site support from the time the service call is made to the vendor.
Do you need a face trimmer, or are you looking for a full 3 knife solution?
The current machine operates with a 2 knife system, but we are open to a better solution.
Are vendors allowed to submit more than one bid? No
Can Current Invoices for Print & Scan Volumes along with configuration pages be provided for the last year for b/w & color per machine? No
Is there Papercut or Output management software in place? No
In assessing the responses, would you take into consideration the lease projections for option years 4 and 5? Yes, we will. Our assumption, based on previous bids, is that the 4th and 5th year options are clearly outlined in relation to cost.
