About this file

This is a Request for Information (RFI) issued by the Department of Veterans Affairs (VA) National Radiation Oncology Program seeking vendor input on an enterprise-wide, vendor-agnostic Software as a Service (SaaS) radiotherapy quality assurance solution. The VA intends to acquire and implement a system that standardizes, automates, and centralizes treatment delivery device QA data acquisition, analysis, and reporting across all VA Radiation Oncology centers. The solution must support quality monitoring of linear accelerators, brachytherapy systems, imaging systems (CT, MRI, on-board imaging), and QA devices from diverse vendors while ensuring compliance with American Association of Physicists in Medicine Task Group standards (TG-142, TG-51, TG-198) and Medical Physics Practice Guidelines. The RFI is for planning and acquisition strategy development purposes only and does not constitute a solicitation for proposals, invitation for bid, or authorization to negotiate. No funds have been authorized or appropriated for this effort, and vendors will not receive payment for responses.

Responses are limited to 10 pages maximum with no marketing materials or generic capability statements permitted. All vendors must submit by 10:00 a.m. EST on Wednesday, June 10, 2026, to candice.mazzetta@va.gov and brandon.caltabilota@va.gov. Responses must include company information (name, address, point of contact, phone, email, CAGE/DUNS/UEI number, NAICS code 541519), technical capability summaries addressing system architecture and hosting, supported equipment and QA test integrations, analytical reporting capabilities, and FedRAMP authorization status. For Service-Disabled Veteran-Owned Small Businesses (SDVOSB) and Veteran-Owned Small Businesses (VOSB), responses must address compliance with VAAR 852.219-73 and the requirement that contractors not pay more than 50 percent of government payments to non-SDVOSB firms. Vendors should also indicate whether the draft Performance Work Statement provides sufficient technical detail and suggest any recommended improvements.
