About this file

This is a Request for Quote issued by the Illinois Department of Public Health for archival document storage materials. The procurement seeks 2,000 archival-quality document cases meeting National Archives and Records Administration (NARA) specifications for storage at the Howlett Building in Springfield, Illinois. The cases must comply with NARA's Acid-Free Archival Storage Containers specification (October 2015 or current version) and feature specific dimensions of 10x9x5 inches with metal edges, hinged lids, and telescoping shallow fronts. Delivery must be completed within 60 days of award, with quotes due by the date and time specified in BidBuy. This is a one-time purchase with no renewal options.

Vendors must submit specification sheets, independent testing or certification results confirming NARA compliance, and warranty statements with their quotes, with all expenses included in the quoted price. Quotes must remain valid for 90 days from submission and be submitted electronically through BidBuy only. The cases must meet rigorous technical requirements including minimum 60-point paperboard thickness, acid-free and lignin-free composition, pH balance between 8.0 and 9.5, and specific performance standards for smoothness, abrasion resistance, and bending resistance. Vendors must provide a one-year warranty covering defective cases with free replacement. The State reserves the right to reject all offers or individual offers failing to meet requirements, and award will be made to the qualified vendor offering the lowest price.
