Requirement for Venue to Host CSO’s Senior Leaders Offsite

DCSA conducts an annual strategic planning and training event for its most senior echelon of leaders on an annual basis. This event allows the agency to develop mission and support priorities for the coming year and aligns it leaders on roles and responsibilities. This event provides a unique opportunity to have our geographically dispersed senior leadership team together in-person for training, team building, and strategic planning. The desired outcomes of the event, in addition to training, include connecting with our colleagues to improve workforce comradery and shared vision. Hosting the event at a venue that provides space for the event, dining, and socialization is needed to meet our needs. This will also save on manhours necessary to plan and execute logistics (multiple hotel blocks, arranging lunches, etc.) separately.

Lodging and dining at the same venue as the event also removes time necessary for the workforce to travel from one to the other.

This requirement is for the CSO’s Seniors Leaders offsite for approximately 60 people. This event will be held July 23-24, 2024, with setup occurring July 22. The following are included in our requirement:

• Handicapped parking and accessibility accommodations for guests with limited mobility

• Meeting space with power and audio/visual systems to project content

• One 8-foot table outside of the main conference room for name tags

• Large conference room to hold all participants each day o Setup needs to be either in round or briefing style.

Briefing style example:

o Include wireless microphones to use around the room for questions for presenters o Table tents

• Lodging availability for all guests to stay at same location as the conference rooms at per diem with variable check in and check out dates

• Dining options available at venue for breakfast, lunch, dinner at per diem

• Capacity to hold evening social events for the workforce

• Less than one hour from an airport (international or domestic)

• Within 60 mi of Washington, DC
